Virtual switchboard with AI, for Spain

The virtual switchboard that
also picks up.

In Spain the phone system category is the centralita virtual: a cloud switchboard that spreads calls across extensions, opening hours and menus. It routes well and it never speaks. rednea answers instead: it greets callers with your business name, handles the everyday questions, books appointments in your calendar and transfers the urgent ones. Your number, your provider and your extensions stay as they are.

What is a centralita virtual?

A centralita virtual is the Spanish term for a cloud phone switchboard: it receives a company’s calls and distributes them across extensions, opening hours and menus, with no hardware in the office. It routes calls; it does not talk to the caller.

What a switchboard cannot fix

A switchboard distributes the call. It does not answer it

Voicemail is still the end of the road

You can build opening hours, queues, hunt groups and overflow to a mobile. When the team is in a meeting, out on a visit or already gone for the day, the call still ends in a mailbox almost nobody leaves a message in.

A caller who reaches the mailbox dials the next result

The options menu describes your org chart, not the caller’s problem

Press 1 for sales, press 2 for accounts. A new customer who only wants an appointment walks a tree built around how your company is organised internally, before anyone has said hello.

Every menu option is a chance to hang up

The switchboard is cheap. Answering it is not

The per-extension fee is the small number. A half-time employee on Spain’s 2026 minimum wage already costs the employer more than €900 a month with social security, and still leaves evenings, long weekends and the weeks of August uncovered.

The channel costs little; the person answering does not

In a small business, the operator is whoever is free

A centralita virtual for an SME gives extensions to three or five people who all have other work. Whoever is nearest picks up, mid-task or with a customer in front of them. At lunchtime and at the end of the day, nobody does.

Routing calls is no help with nobody to route them to

VoIP and the cloud make the line cheaper, not the answering

Moving from a box in the cupboard to a cloud or VoIP centralita lowers the fee and lets you manage extensions from a dashboard. It does not change who answers: the call still needs a free person at the other end.

Better technology, same voicemail

What changes

What happens when the switchboard can hold a conversation

It answers rather than only routing

rednea picks up within seconds using your business name and holds the conversation: it listens, understands and answers the questions you field every day. No menu, no hold music, no mailbox.

Appointments closed during the call

Connected to Google Calendar or Microsoft 365, rednea reads genuine availability and books while the caller is still on the line; you get the call summary by email.

Urgent calls still reach a person

You define what urgent means. Those calls transfer to the extension or mobile you nominate, and everything else arrives in writing with the name, the reason and a callback number.

Six languages on the same line

rednea detects the caller’s language and continues in Spanish, Catalan, English, French, German or Italian, without a language extension and without depending on who happens to be in the office.

Ready in about 30 minutes

How it sits on top of your cloud, VoIP or desk switchboard

01

Keep your number and your provider

No porting and no new number. The number on Google, on your website and on your invoices stays exactly the same.

02

Forward the line to rednea

Standard forwarding from your cloud or VoIP switchboard, or from your landline or mobile: always, when busy, or when unanswered. Start with out-of-hours only and widen later. It switches off in seconds.

03

Describe how your business answers

Hours, services, what may be said on the phone and what may not, the everyday questions, and who each kind of urgent call goes to. Written once.

04

Every call comes back in writing

Who called, what they wanted, what was agreed or booked, by email. What used to disappear into the mailbox is now on a list you can work through.

Typical calls

What rednea sounds like on real calls

17:40, nobody left in the office

Caller
„Good afternoon, I was calling to book an appointment. Are you still open?“
rednea
„Good afternoon. The office has closed, but I can book that for you myself. I have Thursday at 10am or Friday at 4:30pm. Which suits you better? May I take your name and a contact number?“

The call a switchboard would have sent to voicemail becomes an appointment in the calendar, with nobody from the team present.

A caller asking for a specific extension

Caller
„I wanted to speak to accounts, it is about an invoice.“
rednea
„I am putting you through to accounts now. If nobody picks up, I will take your name, the invoice number and your phone number, and they will call you back today.“

Extensions and transfers keep working exactly as they do now. The difference is what happens when nobody at the other end answers.

An English call in high season

Caller
„Hello, do you speak English? I need to move an appointment I have tomorrow.“
rednea
„Of course, I can help you in English. Could I take your name and the phone number you booked with? I have tomorrow at 4pm or Thursday morning available.“

No language extension and no hunting for whoever speaks English. For hotels, coastal clinics and estate agencies, that call used to simply disappear.

A four-person business at lunchtime

Caller
„Hello, I would like a quote for new windows at home. Can someone come and measure?“
rednea
„Of course. To book the visit I need your name, the address and a phone number. I can offer Tuesday morning or Wednesday from 4pm. Which suits you better?“

In a small business the whole team is on site or at lunch at the same time. The switchboard has nobody to pass the call to; rednea turns it into a booked visit.

Two calls at once, Monday at 9am

Caller
„Good morning, I am calling to confirm my appointment on Thursday. Is it still on?“
rednea
„Good morning. Yes, you have Thursday at 11:30. Would you like to keep it or move it? I also have Friday at 10am if that suits you better.“

While your team takes the first call, rednea answers the second. Nobody hears a busy tone or waits in a queue with music.

A caller who only needs one fact

Caller
„What time do you open on Saturday, and where can I park?“
rednea
„On Saturday we are open from 9am to 1:30pm. There is a public car park two minutes away on the same street. Can I help with anything else, an appointment perhaps?“

Opening hours, address, indicative prices and what to bring: the questions that interrupt your team ten times a day are answered without going through an extension.

GDPR, transparency and data location

How calls and data are handled

You are the controller, rednea is the processor

A data processing agreement under the GDPR and Spain’s LOPDGDD, encryption in transit and at rest, and retention periods you configure. In Spain the supervisory authority is the AEPD.

Callers are told they reached a digital assistant

The EU AI Act sets transparency obligations for the moment a person interacts with an AI system. rednea’s standard greeting includes the notice: at the start of the call the assistant introduces itself as a digital assistant. You write the greeting, so keep that notice in it.

No voiceprints, no biometric data

rednea builds no voice profiles and identifies nobody by how they sound. Audio is transcribed, transcripts are encrypted and deleted on the schedule you set, and storing the call audio at all is a setting you can switch off per business and per assistant.

Stored in Switzerland

Persistent data is stored in Switzerland, a country covered by an EU adequacy decision. Your customers’ conversations do not train anyone’s model.

Frequently asked

Virtual switchboard with AI, explained

What is a centralita virtual?

A centralita virtual is the Spanish name for a cloud telephone switchboard. It takes your company’s incoming calls and distributes them across extensions, opening hours, queues and menus, with no hardware in the office, and it is usually priced per extension. Its job is to move the call, not to handle it: when nobody at the end of the chain is free, the call lands in voicemail.

How is an AI virtual switchboard different from an ordinary one?

By who does the talking. A virtual switchboard routes; an AI one also answers. rednea picks up with your business name, answers the routine questions, books appointments in your calendar, takes the caller’s details and transfers urgent calls to the right person. Extensions, hours and transfers all continue to work. What changes is that a call no longer ends in a mailbox because the team was busy or had gone home.

Does it replace my switchboard or work alongside it?

Either, and most businesses start alongside. The usual first step is to keep the switchboard and forward only what is being lost today: out of hours, when the line is busy, or when nobody answers within a few rings. If the switchboard later stops earning its place, everything can be forwarded. Neither route touches your numbering or your provider.

What does an AI virtual switchboard cost?

rednea costs from €90 a month plus VAT with 300 minutes of call time included, with no setup fee, no per-call charge and no minimum term. A conventional centralita virtual is priced per extension, so on paper it is cheaper; the honest comparison is switchboard plus the person who answers it against rednea. A half-time employee on Spain’s 2026 minimum wage (Real Decreto 126/2026) already costs the employer more than €900 a month with social security. The full plan-by-plan breakdown is on the centralita virtual pricing page.

What is a "central virtual para empresas"?

In Spain, "central virtual para empresas" is another name for a centralita virtual: a cloud service that receives a business’s calls and routes them across extensions, hours and menus, with no hardware in the office. What it does not do is talk: when nobody is free, the call ends in voicemail. rednea works alongside your central virtual, or your ordinary line, through standard call forwarding and answers those calls: it handles the routine questions, books appointments and passes urgent calls to the right person.

Which centralita virtual suits a small business?

For a business of a few people, a centralita virtual usually solves the technical part (extensions, hours, forwarding) and leaves the important part open: somebody answering when everyone is busy. If you have three or four extensions and most calls are bookings, opening hours or quote requests, rednea can answer those calls within seconds and pass you only what needs a person. If that was all your switchboard did, you can forward everything to rednea and do without it.

Does it work with my cloud or VoIP switchboard?

Yes. rednea receives calls by standard forwarding, so it works with a cloud centralita virtual, a VoIP switchboard, a desk switchboard or a plain landline or mobile. You set forwarding on your switchboard (always, when busy or when unanswered) to the rednea number. Nothing to install and no change of telephone provider.

Is rednea a VoIP phone system with extensions and softphones?

No, and it is worth saying plainly. rednea gives your team no internal extensions, softphones or IP desk phones. It is the AI assistant that answers the calls you forward to it: it talks to the caller, answers, books and transfers urgent calls to the number you choose. If your team needs extensions to call each other, keep your centralita virtual and put rednea in front of it.

Does it work for businesses with several sites or departments?

Yes. The Professional plan includes 5 phone numbers and unlimited assistants, so each site or department can have its own assistant with its own greeting, hours and transfers. For larger volumes, the Scale plan adds custom numbers and API access.

Can I keep my number and my provider?

Yes. rednea works through standard call forwarding, so it works with any provider and any switchboard, landline or mobile. Your published number does not change, nothing is ported, and forwarding switches off whenever you like.

What if the AI cannot answer something?

It does not invent an answer. It either transfers the call to your team, immediately if the matter is urgent, or takes a structured message with name, phone number and reason and sends it to you by email. Whoever calls back has the full context in front of them.

Which languages does it answer in?

Spanish, Catalan, English, French, German and Italian. rednea detects the caller’s language and replies naturally, with no menus and no keypresses. For hotels, coastal clinics and estate agencies with international clients that is often the difference between a lost call and a booked appointment.

What about the GDPR and my customers’ data?

You remain the data controller and rednea acts as processor, with a processing agreement under the GDPR and the Spanish LOPDGDD, encryption in transit and at rest, and retention periods you configure. Persistent data is stored in Switzerland, which is covered by an EU adequacy decision. The standard greeting has the assistant introduce itself as your business’s digital assistant, no voiceprints are created, and storing call audio can be switched off per business and per assistant.

How long does it take to go live?

About 30 minutes. We set up the assistant with you: the business, the opening hours, the frequent questions and a calendar if you want direct booking. Then you switch on forwarding and make a test call. Your published number never changes.

The switchboard that picks up.

Ready in about 30 minutes, keep your number. No minimum term and no setup fee.
