A signing in the meeting room.
The phone still gets answered.
While the notary reads a deed to buyers and sellers, the phone rings with the same questions: which documents do I need, when can we sign, is my copy ready. rednea answers every call, books signing appointments, gives the document checklists you approve, and passes case questions to the person handling the file.

What is rednea for notary offices?
rednea is an AI phone assistant for notary offices. It answers every call 24/7, books signing appointments, gives the document checklists you approve, takes structured messages for the officer handling each file, and gives no legal advice.
Why the notary office phone rings out
Why clients cannot get through to their notary
Signings cannot be interrupted
Reading and signing a deed needs the full attention of the notary and the team. Nobody leaves a signing to answer the phone, and the calls pile up.
Signings first, phone second
The same document questions every day
Which documents for a property sale? What do I need for a power of attorney? Is my copy ready? The officers answer the same questions all day instead of preparing files.
Routine calls take qualified time
Agencies, banks and clients all call about the same signing
A property sale brings calls from the buyer, the seller, the estate agent and the bank, each asking for a date or a status. Without a clear first point of contact, the officer becomes a switchboard.
Four callers per signing
What changes
How rednea works in your notary office
Every call answered, signings undisturbed
rednea answers in parallel, so the team stays with the clients in the meeting room. Callers get an answer at once.
Signing appointments booked
rednea asks for the type of act and the people involved, and books the right appointment, or notes the request for the officer when the file is not ready yet.
Document checklists, never legal advice
Which documents to bring for a sale, a power of attorney or a will, your hours, how copies are collected: rednea answers what you approve. Legal questions always go to the office.
Case questions reach the right officer
A status question about a file becomes a structured message for the officer handling it, with the names and the reference, so nobody has to ask again.

How we set rednea up for your notary office
Acts, team & greeting
We record the acts you handle (property sales, mortgages, powers of attorney, wills, company deeds), who handles what, your hours and your greeting.
Approved checklists
You approve the document checklist for each type of act and the answers about copies and collection. Nothing that counts as legal advice.
Calendar & routing
Connection to Google Calendar or Microsoft 365, and to office software via iCal or API on request. Then your rules: which calls go to which officer, and when to transfer.
Test call & go-live
You call your own number and try the scenarios that matter: checklist question, signing appointment, status question. Then you set call divert on your existing line. No number change.
Typical call scenarios
How rednea handles calls for a notary office
Documents for a power of attorney
The approved checklist and an appointment in one call, without taking an officer away from a file.
An estate agent asks about a signing date
A structured message to the right officer with the case details, instead of a call that interrupts a signing.
A legal question
No legal advice: the question goes to the people who can answer it.
Is my copy ready?
The status question arrives with the details the officer needs to find the file at once.
GDPR and confidentiality
Built for the confidentiality a notary office keeps
Data processing agreement under GDPR
Your office is the controller, rednea the processor. A data processing agreement (Article 28 GDPR) sets what is processed, for what and how long, with encryption in transit and at rest.
Storage in Switzerland
Persistent data is stored in Switzerland, a country with an EU adequacy decision. Transcripts are deleted on the schedule you set.
Recording is your switch
Call recording is on by default and can be switched off in the dashboard, taking effect on the next call. Transcripts and summaries are separate and keep working.
Transparent AI, no legal advice
Your greeting can say from the first second that a digital assistant is answering. You write the greeting, and we suggest a wording that does this — the transparency Article 50 of the EU AI Act asks for. rednea gives no legal advice and creates no voice profiles.

Frequently asked
What notary offices ask before using rednea
Does rednea give legal advice?
No. rednea answers only the practical questions you approve: document checklists, hours, how copies are collected. Legal and tax questions become a consultation booking or a message for an officer.
Can it give fee estimates?
Only the information you approve. Fees depend on the act and the case, so rednea takes the request and an officer prepares the estimate.
Can it tell clients the status of their file?
By default, rednea does not read your office software. It takes the question with the names and the reference and sends it to the officer handling the file, who calls back.
Can it handle calls from estate agents and banks?
Yes. rednea asks who is calling and about which file, and sends a structured message to the right officer, or transfers the call if your rules say so.
Does rednea work with our calendar?
rednea books through Google Calendar, Microsoft 365 and office software via iCal or API on request. We confirm the integration path in the kick-off call.
What if a client wants to speak to the notary?
Your greeting can say from the first second that a digital assistant is answering: you write it, and we suggest a wording that does. A client who wants a person is transferred if someone is free, or gets a call-back with the question already noted.
Does it handle clients who do not speak English?
Yes. rednea detects the caller’s language and answers in English, Spanish, Catalan, French, German or Italian, useful for offices with many foreign buyers. How a signing works with a client who does not speak the language of the deed is for your team to explain.
Do we have to change our phone number?
No. You divert your existing number to rednea, from a landline or a mobile, with any provider. You can switch the divert off at any time.
How much does it cost, and how long does setup take?
From £90 per month with 300 minutes included; if you need more, you add minutes. No setup fee and no minimum term. Setup takes about 30 minutes: we configure acts, checklists and routing, connect the calendar, and you go live with call divert on your existing number.
