Deadline week.
Every call is still answered.
Before every filing deadline the phone rings non-stop: “Have you got my documents?”, “When is my return done?”, “Can I come in this week?”. rednea answers every call, books meetings with the right adviser, answers the practical questions you approve, and transfers calls about urgent tax-authority letters to the person responsible.
What is rednea for accounting firms?
rednea is an AI phone assistant for accounting, tax and bookkeeping firms. It answers every call 24/7, books meetings with the right adviser, answers approved practical questions, takes structured messages, and transfers urgent matters. It never gives tax advice.
Why the phone wins every deadline week
Why clients cannot get through to their accountant
Deadlines bring the calls and the work at the same time
When returns are due, every client calls at once — exactly when the team has the least time. Each call breaks the concentration needed for a return or a set of accounts, and work that should take an hour takes three.
Most calls arrive in the busiest weeks
Most calls are the same five questions
Which documents do you need? Did my papers arrive? When is my return ready? What are your hours? Can I book a meeting? Qualified staff spend their day answering what a well-briefed assistant can answer.
Routine questions take qualified time
The urgent call gets lost among the routine ones
A client with a letter from the tax authority and a short deadline calls at the same time as ten routine questions. If that call goes to voicemail, the deadline still runs.

What changes
How rednea works in your firm
Every call answered, the team keeps working
rednea answers in parallel, so the deadline-week rush does not break your team’s concentration. Clients get an answer at once, also early in the morning and in the evening.
Meetings with the right adviser
rednea books a meeting or a call-back in the calendar of the adviser who handles that client or topic — tax, payroll or bookkeeping — with the client’s question already noted.
Practical answers, never tax advice
Office hours, which documents to bring for a return, how to send papers, fees you publish: rednea answers the questions you approve. Tax, payroll and legal questions always go to an adviser.
Urgent matters reach the right person
A letter from the tax authority, a payroll error, a deadline this week: you define what is urgent, and rednea transfers the call to the person responsible if they are free. Otherwise your team gets the call summary with the deadline date by email right after the call.

How we set rednea up for your firm
Services, team & greeting
We record your services (tax returns, bookkeeping, payroll, company formation), who handles what, your hours and your greeting.
Approved answers
You approve the practical answers: which documents clients need for each service, how to send them, your fees if you publish them. Nothing that counts as advice.
Calendar & urgency rules
Connection to Google Calendar or Microsoft 365, and to practice software via iCal or API on request. Then your rules: what counts as urgent and who gets it.
Test call & go-live
You call your own number and try the scenarios that matter: document question, meeting request, urgent notice. Then you set call divert on your existing line. No number change.
Typical call scenarios
How rednea handles calls for an accounting firm
Which documents do I need?
The approved document list, given the same way every time. The client’s request goes to the right adviser with the context.
A letter from the tax authority
No interpretation of the letter: the deadline is recorded, and the team gets the call summary with the date right after the call.
A new client at 8 pm
A new client booked in the evening, with the activity noted, instead of a voicemail the next morning.
A payroll query from a client company
The query reaches the payroll team with the details and the payday date, and rednea gives no view on the payslip.
GDPR and client confidentiality
Built for the confidentiality a firm owes its clients
Data processing agreement under GDPR
Your firm is the controller, rednea the processor. A data processing agreement (Article 28 GDPR) sets what is processed, for what, how long and with which measures, with encryption in transit and at rest.
Storage in Switzerland, retention you set
Persistent data is stored in Switzerland, a country with an EU adequacy decision. You set how long transcripts are kept, and they are deleted on that schedule.
Recording is your switch
Call recording is on by default and can be switched off in the dashboard, taking effect on the next call. Transcripts and summaries are separate and keep working.
Transparent AI, clear limits
Your greeting can say from the first second that a digital assistant is answering. You write the greeting, and we suggest a wording that does this — the transparency Article 50 of the EU AI Act asks for. rednea gives no tax, payroll or legal advice and creates no voice profiles.

Frequently asked
What accountants ask before using rednea
Does rednea give tax or accounting advice?
No. rednea answers only the practical questions you approve: hours, which documents to bring, how to send papers, published fees. A tax, payroll or legal question becomes a structured message for an adviser, or a meeting in their calendar.
Can it handle the deadline-season rush?
Yes. rednea answers any number of calls in parallel, so there is no engaged tone. Routine questions are answered at once, meetings are booked, and only the calls that need an adviser reach the team.
How does rednea handle urgent matters?
You define what is urgent: a letter from the tax authority with a deadline, a payroll error, a bank asking for accounts. rednea transfers those calls to the responsible person if they are free. If not, it takes the client’s name and the deadline date, and your team gets the call summary by email right after the call.
Can rednea tell clients the status of their return?
Only what you make available to it. rednea does not read your practice software by default. It can take the question and send it to the adviser, who calls back with the status. If you want status answers on the phone, we discuss an integration on request.
Does rednea work with our practice software and calendar?
rednea books through Google Calendar, Microsoft 365 and practice software via iCal or API on request. We confirm the integration path in the kick-off call.
Is client financial data safe?
Calls are processed under a data processing agreement (Article 28 GDPR), with encryption in transit and at rest and retention you set. Persistent data is stored in Switzerland. Call recording is on by default and you can switch it off in the dashboard.
What if a client wants to speak to their adviser?
Your greeting can say from the first second that a digital assistant is answering: you write it, and we suggest a wording that does. A client who wants their adviser is transferred if the adviser is free, or gets a call-back with the question already noted, so the adviser starts the call with context.
How much does it cost, and how long does setup take?
From £90 per month with 300 minutes included; if you need more, you add minutes. No setup fee and no minimum term. Setup takes about 30 minutes: we configure services, approved answers and urgency rules, connect the calendar, and you go live with call divert on your existing number.
